The purpose of the Real Estate Assistant is to help the brokers manage active real estate transactions and process closed transactions as well as assist with property marketing. This position will require a candidate who enjoys multi-tasking, staying organized, and problem-solving. Specifically, the real estate assistant will process all of the ‘paper’ that passes through the office for listings and purchases.  While this position is primarily office-based, there may also be some field work.

General Responsibilities

Transaction Management

  • Process purchase sale contract documents from Acceptance until Closing.
  • Ability to assert oneself to motivate others (clients, vendors, real estate agents, loan officers, title reps, etc.) to ensure timely completion of all contractual obligations and deadlines.
  • Prepare contract paperwork as needed.

Property Marketing

  • Process listing paperwork and enter into appropriate databases
  • Manage brokerage marketing protocol for listings including preparing marketing materials

Administrative Support

  • Assist Broker with new business development and lead generation activities
  • Develop and foster relationships with clients, lenders, title reps, inspectors, contractors and other 3rd party vendors.
  • Assist with field tasks as needed (fill flyer boxes, take photos, etc.).
  • Maintain supply of office materials and marketing materials.

Position Requirements

Qualifications & Skills

  • Excellent task management, organizational, and time management skills are required.
  • Professionalism and a high level of customer service are a must.
  • Must be dependable, able to follow directions, and able to complete projects in a timely manner.
  • Ability to work effectively under minimal supervision.
  • Must be able to work under pressure, meet short deadlines, & coordinate and prioritize multiple tasks.
  • Ability to learn new technologies; specifically, computer & web-based applications.
  • Knowledge of Microsoft Word, Outlook, Excel, social networking sites.
  • Strong attention to detail and accuracy with a commitment to quality.
  • Ability to communicate effectively in English with a high proficiency in grammar and spelling.

Education & Experience

  • Required: High School diploma or GED equivalent required; College degree preferred
  • Preferred: Minimum of 1 year experience working in real estate or related field (lending, title, etc.)
  • Preferred: Valid IL Real Estate License
  • Bonus: Knowledge of and experience working in St. Clair and/or Monroe Counties
  • Bonus: Experience working with new construction

Additional Requirements

  • Required: Valid driver’s license and personal vehicle that complies with local & state laws
  • Required: Smart phone with email, texting, and internet capabilities
  • Required: Background Screening

Hours & Compensation

  • $15.00 per hour
  • Part Time, 25 hours
  • Monday – Friday, with some occasional weekend hours as needed.
